Context

Connecting the member experience to operations.

CommonGrounds offers collaborative workspaces in California and elsewhere in the United States. Its members and managers needed to interact with the same locations through tools suited to their needs. The challenge was to simplify things for members while connecting bookings, leases and billing to the company's administrative systems.

The constraint Bringing multiple journeys and systems together in a consistent experience, without passing on to members the complexity of managing a network of workspaces.
An ecosystem

A connected whole.

Mobile application Book a room, view invoices and connect with the community.
Web member portal Find the services tied to your company, manage your leases and access useful information from the web.
Management console Manage spaces, members, contracts and billing in a centralized tool, across all locations.
Tablet tools Supporting managers, visitor check-in and conference room booking with applications designed for those uses.
CommonGrounds ecosystem: management console, web member portal, tablet and phone
Mandate

Growing a pilot into a complete ecosystem.

Appcom was first engaged to deliver a pilot project. The collaboration then expanded to a suite of custom digital products, connecting member apps to CommonGrounds' management tools and administrative systems.

One goal guided this evolution: make services accessible and operations more consistent.

CommonGrounds mobile screen: member home with day pass purchase, membership and upcoming events
CommonGrounds mobile screen: room availability by time slot
What we did

Connected journeys, from member to manager.

We designed an ecosystem that meets the needs of both members and management teams. The native mobile apps and the web portal provide access to coworking services, while the console brings together administrative functions.

Integrations with calendars and the accounting system connect these different tools. The user experience organizes a wide range of features around easy-to-understand journeys.

Member experience: creating a company profile, managing leases and accessing services tied to the workspaces. Room booking: searching for and booking conference rooms across the network, with calendar integration. Payment and billing: managing payment methods and viewing invoices, linked to administrative tools. Centralized management: administering spaces, members, lease agreements and billing from a dedicated console. Native apps: iOS development in Swift and Android in Kotlin, complemented by a web app for members. Community life: conversations with the local community manager, announcements and event invitations to support life in the spaces. Front desk and operations: tablet applications to support managers, visitor check-in and conference room booking on site.
