RailXtra

RailXtra rents and sells heavy road and rail vehicles and equipment: trucks, hi-rail trucks, cranes and trailers, as well as tools and machinery. We built the ecosystem that lets it manage every rental from end to end, with AI at the core of its operations.

Context

A heavy fleet, complex operations.

RailXtra rents and sells road and rail equipment, as well as tools and machinery. Every rental goes through many steps: creation, signature, delivery, operation, maintenance, return and closing. Requests arrive in a constant stream by email, spread across a dozen inboxes, for operations across Canada. And every unit must remain compliant at all times: registration, insurance, SAAQ inspection, PEP, Hi-Rail certification and crane certification.

The constraint Keep every operation running smoothly (rental, delivery, maintenance, invoicing) and every unit compliant, while taking over and modernizing an existing platform, without interrupting the business.
An ecosystem

Multi-platform.

Client app iOS and Android: real-time fleet, compliance of every unit, documents and reports, rental requests and contract signature.
Driver app Scheduled deliveries and pickups, full inspections even offline, and reports shared with the customer.
Management console The whole rental cycle, from customer pricing to damages and invoicing, synchronized with the accounting system.
AI agents Emails sorted and routed, compliance documents attached to the right unit, and suppliers followed up when information is missing.

Mandate

Take over, stabilize, accelerate.

Appcom's challenge was to take over an existing platform: audit the code, recover it and put it back on solid footing, then evolve the tools continuously, without interrupting rental operations.

The goal: give every stakeholder, from the internal team to the driver and the client, a tool designed for their role, and integrate AI agents to automate repetitive tasks.

What we did

A connected ecosystem, from request to invoice.

We keep evolving the management console that covers the whole rental cycle: rental creation, unit assignment, inspections, contract signature, maintenance, equipment recovery, then invoicing synchronized with the accounting system. A new version is in development alongside the current one.

On mobile, the customer app provides the fleet view, real-time GPS tracking, access to fleet documents and reports, the catalogue, rental requests and electronic contract signature. The driver app is used to plan and carry out deliveries and pickups, with the associated inspections (360 video, tires, signature), even offline. It generates damages and additional charges, and inspection reports are available to the customer as well as to RailXtra.

A compliance agent that detects incoming documents, attaches them to the right unit, follows up with the supplier when information is missing and flags upcoming deadlines. AI agents that classify incoming emails (vehicle, machinery and tool rentals, parts, maintenance, transportation) and spot those awaiting a reply, files to watch and signs of customer dissatisfaction. Automatic escalation to the right person, by email and SMS, based on category, region and response time. Complete pricing: annual price list, customer-specific exceptions and the catalogue shown to each customer. Integrated customer communications: notifications and emails sent directly from the platform. Maintenance requests, centralized and tracked in the platform. Driver management: invitations, assignment to rentals and restricted access.

Impact and results

A relaunched project, an AI already at work.

A platform back up and running Since fall 2025, Appcom has taken over the project, audited and stabilized the code, then delivered new versions of the console and mobile apps, following a roadmap shared with RailXtra. A new version of the console is already in development, alongside the current one.
AI in production Incoming emails are classified by request type and routed to the right person, with automatic escalation. The agent also spots those awaiting a reply, files to watch and signs of dissatisfaction. A compliance agent attaches incoming documents to the right unit and follows up with the supplier when information is missing.
